1. Part Exchange
For part exchange vehicles, we will require the following on the delivery day:
V5C registration document, without this complete document in your name and address we are unable to accept your part exchange, complete your handover and will require alternative funds in lieu of your part exchange.
A valid MOT with a minimum of 3 months
All service history
2 Working keys
Vehicle manual (If applicable)
Locking wheel nut key.
Please email your Sales Executive a copy of your V5C for checking prior to collection of your new car. If you are unable to provide any of these, please let your sales executive know prior to the delivery day. For part exchange vehicles which have outstanding finance we will require an up-to-date settlement letter from the finance company on the finance company’s headed paper. This is to enable us to settle the correct amount of finance on the vehicle and will prevent any delay in the clearance procedure.
2. Funding
We are only able to take the initial deposit on a debit or credit card up to a maximum value of £5,000, any remaining balances will need to be transferred to our account prior to delivery. We would recommend that this is completed on the day before delivery to prevent any delay on the delivery day, and please use your name or the registration number of the vehicle as a reference. Your sales executive can provide you with our bank details to enable the transfer of funds.
If you are funding the vehicle you have purchased from us through our finance company, we will require you to bring your valid driving licence with you on the day of delivery. If your driving licence is not in the same address as the finance agreement, we will require a copy of your passport, and another form of identification (e.g. a utility bill dated within the last two months).
Please note that we will be unable to release any vehicle until full clear funds are received. We would advise completing any documentation before handover to reduce any delays on the day.
3. Vehicle protection – value added products
At Harwoods we can offer other products to fully protect your vehicle. Your sales executive will have gone through these products with you and added the products you require on the order form. If, however, you did not purchase any of the products on the day of purchase, but wish to do so prior to delivery, please let your sales executive know. Please refer to the Harwoods vehicle protection document regarding these products.
4. Cherished Registrations
To apply cherished registration plates to new vehicles being purchased from us, we will require the retention certificate for your plate prior to delivery. If your cherished plate is currently on another vehicle, you can unassign it at a cost of £80 at the following web address: www.gov.uk/keep-registration-number
If the cherished plate is on your part exchange coming in, once you have processed the retention the DVLA will send you a replacement V5C registration document for the vehicle with a date relative registration number assigned to it. We will require this V5C to enable us to dispose of your part exchange, however if you do not have this available on the day of delivery, we will not be able to complete your handover.
When purchasing a used vehicle from us, you can put your cherished registration on retention by the same process, however, you will need to wait until you have received the V5C registration document for your new vehicle back from the DVLA before you can assign the cherished plate. Once you have received the V5C registration document, you can visit the following web address to assign the plate: www.gov.uk/put-registration-number-vehicle
There will be nothing further to pay, as this will have been paid when the cherished number was initially retained. Please note that if you change your registration number at any time and have taken any of the insurance products that we offer, you must send a copy of the V5C registration document with the new registration number to the insurance company.
5. Insurance
Please ensure that you have arranged insurance for your new car prior to handover.
6. Vehicle Road Fund Licence
New vehicles will be registered and taxed on your behalf by the dealership & the cost will appear on the invoice. If you are purchasing an Approved Used Vehicle from us, it will not be taxed, so you will need to tax the vehicle yourself on the day of delivery. Your sales executive can assist you with using the online service if required, just bring your credit/debit card along with you. Also, during the taxing process, you can apply for a new V5C for the car you are collecting to be registered and sent to you by the DVLA.
